1. Eligibility for Grand Finale Participation:

• Participants must have successfully registered for IEEE YESIST12 2025 Grand Finale.
• All team members (if applicable) must adhere to the age and academic status criteria set forth by IEEE YESIST12.

2. Travel Grant Eligibility & Application:
   The travel grant is exclusively available to participants who have been selected to present their projects at the IEEE YESIST12 2025 Grand Finale in Malaysia.
   Travel grants will be provided for only the team members of the qualified project/team.
   To apply for the travel grant, participants must complete the dedicated travel grant application form (part of the main registration form or a separate link provided during registration). Applicants must provide accurate and verifiable details regarding their estimated travel expenses. This may include, but is not limited to, flight quotes, tickets with price and bank transfer details for the price paid.
   Deadline for Travel Grant Submission: All necessary documentation and application forms for the travel grant must be submitted by June 30th, 2025. Late submissions will not be considered.

3. Travel Grant Disbursement:
   The travel grant amount will be calculated based on 40% of the actual, verifiable travel expenses or INR 20,000, whichever is the minimum amount.
   Verification of travel expenses will require submission of original receipts, flight tickets, bank statements as requested by the IEEE YESIST12 organizing committee.
   The travel grant will be disbursed after the successful participation of the recipient(s) in the Grand Finale in Malaysia and upon submission of all required expense proofs.
   The method of disbursement (e.g., bank transfer) will be communicated to the successful grant recipients. Participants are responsible for any bank charges or conversion fees associated with receiving the grant. Verification of travel expenses will require submission of original receipts, flight tickets, bank statements as requested by the IEEE YESIST12 organizing committee. The travel grant will be disbursed after the successful participation of the recipient(s) in the Grand Finale in Malaysia and upon submission of all required expense proofs. The method of disbursement (e.g., bank transfer) will be communicated to the successful grant recipients. Participants are responsible for any bank charges or conversion fees associated with receiving the grant.

4. Project Presentation Guidelines:
   Specific guidelines regarding project presentation format, duration, and equipment will be shared with the qualified finalists well in advance of the Grand Finale.
   Participants must ensure their projects are original and do not infringe on any intellectual property rights.

5. Disclaimers:
   The IEEE YESIST12 organizing committee reserves the right to make final decisions on all matters related to the Grand Finale, including participant selection, travel grant allocation, and rule interpretations.
   The rules and regulations may be subject to minor changes, which will be communicated promptly through the official channels.
   IEEE YESIST12 is not responsible for any personal injury, loss, or damage to property incurred by participants during their travel to or stay in Malaysia. Participants are advised to obtain personal travel insurance. 

By registering for the IEEE YESIST12 2025 Grand Finale and applying for the travel grant, you acknowledge that you have read, understood, and agree to abide by all the above rules and regulations.
